Undo and the Bin

Updated 152 views

Two safety nets: ⌘Z for immediate mistakes, and the Bin for anything you deleted and later want back.

What ⌘Z undoes

Press ⌘Z (Ctrl+Z also works). It covers exactly five things:

  1. Note deletes — including bulk deletes

  2. Quick captures — a note created from the search box or with ⌘V goes to the Bin

  3. Board card moves — moving a card into or out of a column

  4. Custom property changes

  5. Calendar moves — a one-off reminder or a date property value dragged to another day on the Calendar page

How it behaves:

  • Up to 20 actions, most recent first

  • Suppressed inside text inputs, the editor, and any open dialog, menu, or dropdown, so it never fights normal text undo or interferes while a menu is open

  • Cleared when you switch workspaces — undo before switching away

  • No redo

Deletes and captures show a toast with an Undo button (captures also get Open). Card moves and calendar moves deliberately show no toast, so ⌘Z is the way back.

Two gaps worth knowing:

  • Reordering a card within the same column is not undoable. Moving a card between columns is.

  • To roll back note content, use Version history — ⌘Z does not cover note text across sessions.

The Bin

Deleted notes go to the Bin in the sidebar, where they stay for 30 days before permanent removal. A banner in that view says so: "Notes in trash are automatically deleted after 30 days".

You will see both words in the product — the sidebar and page title say Bin, while buttons and messages say trash. Same place.

Deleting

  • Delete in a card's menu

  • ⌘⌫ (or the Delete key) to bin all selected notes, after a confirmation

  • Move to trash from an open note's menu

  • Ask AI chat, or an assistant connected over MCP, to delete a note

A plain ⌫ on its own does nothing, and there is no single-key delete for a card. An open note has no delete shortcut either — use its menu.

A note deleted by an assistant does not go onto the ⌘Z stack, and no Undo toast appears — ask the assistant to bring it back, or restore it from the Bin yourself. Chat names the note and asks before deleting, and tells you how many sub-notes went with it. See Using AI chat.

Deleting a note from the side panel closes the panel and leaves you on the list, with your filters and sort untouched.

Restoring

Three ways:

  • Open the Bin and choose Restore on a note's card menu.

  • Open the note itself — clicking it in the Bin opens it in the side panel — and choose Restore from its menu. The note stays open, so you can check you have the right one before restoring it.

  • Ask AI chat, or an assistant connected over MCP, to bring it back — "restore the pricing note I deleted this morning". It tells you where the note landed.

A restored note counts toward your plan's note limit again. If bringing it back, with the notes binned along with it, would take the workspace past that limit, the restore is refused with a message saying so.

Restoring is one note at a time — there is no bulk restore in the Bin. For a delete you just made, ⌘Z or the toast's Undo is faster and does handle multiple notes at once.

Permanent deletion

  • Delete permanently on a note already in the Bin

  • Empty trash to remove everything at once

There is no way to skip the Bin — a note must be binned before it can be permanently deleted.

Both are irreversible:

Empty trash? All notes in the trash will be permanently deleted. This action cannot be undone.

Emptying the Bin also releases the storage used by those notes' files, so it is the action to reach for when you are near your limit.

Sub-notes cascade

Deleting a note also bins all of its sub-notes, at every depth. A project note takes its children with it.

Restoring is cascade-aware: restoring a parent brings back the children that were binned with it, but not children you had deleted separately beforehand.

If you restore a note whose direct parent is still in the Bin, the note becomes a top-level note rather than being restored into something invisible, and its own sub-notes come with it. It is removed from boards it was on. Nothing is lost — but it may not be where you expect, so check the top level if a restored note seems missing.

Deleted notes do not appear in normal search or lists. To see them, open the Bin, which has its own view. The Bin is always a flat list — board view is not available there.

Binned notes leave the Calendar too, and their reminders stop notifying. Restore a note and its reminders start again; one that came due while the note was in the Bin is still sent if it is less than 24 hours late.

This is worth remembering when a note seems to have vanished: check the Bin before concluding it is gone.
